Tenant Application Guidelines
We are pleased that you are interested in renting a property from our offer. Below you will find information on how to enter into a tenancy agreement.
We kindly ask you to provide information necessary to confirm the details required for signing the tenancy agreement and to allow us to fulfill our tenant verification obligations to ensure a smooth rental process throughout the tenancy period.
The completeness of the information provided affects the decision regarding entering into the tenancy agreement. Please check below which data we require from you, depending on your situation (A, B, or C).
Prospective Tenant
A) Employed under an employment contract / mandate contract / contract for specific work
What will be required?
- identity verification by presenting an identity document,
- a document confirming income:
- certificate from the employer or contracting entity,
- minimum employment period of 3 full months.
What do we pay attention to?
- the ratio of monthly net income to the total monthly rental costs. The preferred income level is at least twice the monthly rental costs; however, each case is assessed individually,
- completeness of the information provided.
B) Self-employed
What will be required?
- identity verification by presenting an identity document,
- Tax Identification Number (NIP),
- documents confirming the company’s income or revenue, e.g.:
- accounting statement,
- balance sheet,
- minimum business operation period of 3 full months.
What do we pay attention to?
- the ratio of monthly net income to the total monthly rental costs. The preferred income level is at least twice the monthly rental costs; however, each case is assessed individually,
- completeness of the submitted documents.
C) Foreign
What will be required?
- identity verification by presenting an identity document,
- presentation of a valid long-term visa or residence permit,
- documents confirming income
(according to section A or section B, depending on the type of employment or business activity).
What do we pay attention to?
- legality of stay for the anticipated tenancy period,
- if the applying tenant does not speak Polish sufficiently to independently and knowingly review the tenancy agreement and related documents, the use of a certified translator at the tenant’s expense may be required,
- the ratio of monthly net income to the total monthly rental costs. The preferred income level is at least twice the monthly rental costs; however, each case is assessed individually,
- completeness of the submitted documents.
Additional Information for All Applicants
In individual cases, we may request:
- a higher security deposit,
- advance payment for the first rental period,
- recommendations or references from a previous landlord.
The decision regarding additional requirements depends on the individual assessment of the tenant’s situation and the level of risk associated with the tenancy.

Information on the Processing of Personal Data
The controller of the personal data provided during the tenant verification process is the entity managing the rental services: Oliwia Rojek, conducting business under the name RentMasters Oliwia Rojek, with its registered office at Emaus street 55y/102, Kraków, Poland. Personal data is processed solely for the purpose of:
- conducting the tenant verification process,
- assessing the possibility of entering into a tenancy agreement and carrying out the tenancy.
Providing data is voluntary; however, failure to provide the required information or documents may prevent the verification process from being completed and may make it impossible to enter into a tenancy agreement.
As part of the verification process, we may process in particular:
- identification data,
- contact details,
- information regarding employment or business activity,
- information regarding the source and amount of income,
- data contained in documents provided by the applying tenant.
Data may be shared only with entities cooperating in the administration of the tenancy, in particular entities providing administrative or IT services, solely to the extent necessary to achieve the purpose of data processing and while maintaining appropriate security measures.
Personal data is stored:
- for the duration of the verification process,
- for the duration of the tenancy agreement,
- for the period required by law regarding claims enforcement and tax and accounting obligations.
If the tenancy agreement is not signed, the data will be deleted or anonymized by the end of the calendar month in which the verification process was completed.
Every individual has the right to access their data, rectify it, delete it, restrict its processing, and lodge a complaint with the President of the Personal Data Protection Office.
